The Challenge

Mara Garcia had been wholesaling for four years and hit seven figures doing it. The systems underneath told a different story. Leads started in a Dollar Tree notebook and Gmail. Then came Podio, which she paid an outside company $1,500 to automate, plus PropStream for data and a power dialer loaded with 40,000 contacts at a time. By 2023 she had more than 200,000 records scattered across those tools, and her team was nurturing 1,700 dead leads. About 600 of them had already sold. She calls it a nightmare.

She was hitting a brick wall and knew it. A competitor in her own market told her on a Friday afternoon that she needed DataSift. Even after joining in July 2023 she admits the first weeks were hard: four years of habits, a new flow, some crying emails to support. She moved everything anyway and shut Podio down.

What They Built

One database instead of ten tools

Every record moved into DataSift: the PropStream pulls, the county data, the old Podio pipeline, four years of dead leads. Podio is gone. Statuses and filter presets now show where each record sits in the marketing process, so nothing gets nurtured after it already sold.

Finding the thousand owners stacked on ten lists

Consolidation exposed the number that changed her marketing. The same sellers kept appearing across her lists, about 1,000 contacts sitting on multiple lists at once, while she paid to market to 200,000 records one list at a time. Those stacked, first to market records are now what her team calls first.

Why are we continuing to buy so much data? And we're still hitting the same John Smith at one, two, three Main Street.

A VA whose only job is clean data

Mara hired a dedicated VA to keep the database honest: cleaning the PropStream imports, uploading sold properties, and pulling fresh county data. Filter presets hand the calling VA only clean, undialed records, so the dialer queue never mixes in dead numbers or closed dispositions.

Marketing that reports back into the database

Her smart dialer and her SMS tool both write results back into DataSift automatically. Every connect, dead number, and disposition lands on the record. That flipped her direct mail math. Instead of mailing 171,000 records, she mails the 3,900 that four rounds of skip tracing could not produce a working number for.

So why am I doing 200,000 of maybe somebody that's on a one or two list, but I have a thousand that's smoking on fire based on data.

Mara hit seven figures in 2023, her first $1M year in four years of wholesaling.
