The Challenge

Antione and Alana came in with a data background and a stack that fought them anyway. Their prospecting database had no CRM function, so they bolted Podio on top to compensate. Two systems meant scattered statuses and marketing decisions made on guesswork. In Antione's words, their marketing was all over the place and they were chasing their tail the entire time.

Even after joining in September 2021, the skepticism did not vanish overnight. They ran DataSift and Podio side by side for years because the familiar build felt safer than a full cutover. An early import mapped their tags incorrectly, and support had to pull in a developer to bulk delete the bad records. Meanwhile one lead sat at the top of their dashboard from September 2021 on. Direct mail, ringless voicemail, SMS, cold calls: every channel came back with wrong numbers, voicemails, and disconnects. They had written the property off.

Cutting the operation down to one system

The full cutover finally happened when the smart dialer integration landed and Podio kept changing under them. Marketing, lead management, acquisitions, and closed contracts now live in one place, start to finish. Alana, who came from healthcare rather than tech, runs operations inside the same boards and built the sequences that removed the guesswork.

Letting saved presets surface the records nobody touched

Their data manager breaks every monthly data subscription into saved preset views by list, stack count, and preferred zips. Antione checks those views at night and pushes overlooked records straight into marketing.

There are times where I'm just like late at night looking at them and then like adding some filters on top of what we already have. And I'm like, oh my God, 300 new records that we haven't got any status on.

Exhausting a record instead of remarketing to it

The two-year lead broke open through record exhaustion, not new spend. The property was inherited, and county records still showed the deceased mother's name because of a gift deed. Every other investor was marketing to the wrong person. They re-skip traced the record, called the family members, and got the actual owner on the phone.

It truly was like a sensei flow type thing. And we wouldn't have, I don't think any other investor would have reached her without doing it this way.
