Overdue follow-up deals closed in their first weeks

Closed stubborn follow-up deals right after joining DataSift. The CRM surfaced leads they were missing.
About
Antione and Alana, seasoned real estate pros, shifted their decade-long approach with the help of DataSift. Their mastery of lead flows, strategic marketing, and dynamic deal closures reflects their innovative edge in the industry.

The Challenge
Antione and Alana came in with a data background and a stack that fought them anyway. Their prospecting database had no CRM function, so they bolted Podio on top to compensate. Two systems meant scattered statuses and marketing decisions made on guesswork. In Antione's words, their marketing was all over the place and they were chasing their tail the entire time.
Even after joining in September 2021, the skepticism did not vanish overnight. They ran DataSift and Podio side by side for years because the familiar build felt safer than a full cutover. An early import mapped their tags incorrectly, and support had to pull in a developer to bulk delete the bad records. Meanwhile one lead sat at the top of their dashboard from September 2021 on. Direct mail, ringless voicemail, SMS, cold calls: every channel came back with wrong numbers, voicemails, and disconnects. They had written the property off.
What They Built
Cutting the operation down to one system
The full cutover finally happened when the smart dialer integration landed and Podio kept changing under them. Marketing, lead management, acquisitions, and closed contracts now live in one place, start to finish. Alana, who came from healthcare rather than tech, runs operations inside the same boards and built the sequences that removed the guesswork.
Letting saved presets surface the records nobody touched
Their data manager breaks every monthly data subscription into saved preset views by list, stack count, and preferred zips. Antione checks those views at night and pushes overlooked records straight into marketing.
There are times where I'm just like late at night looking at them and then like adding some filters on top of what we already have. And I'm like, oh my God, 300 new records that we haven't got any status on.
Exhausting a record instead of remarketing to it
The two-year lead broke open through record exhaustion, not new spend. The property was inherited, and county records still showed the deceased mother's name because of a gift deed. Every other investor was marketing to the wrong person. They re-skip traced the record, called the family members, and got the actual owner on the phone.
It truly was like a sensei flow type thing. And we wouldn't have, I don't think any other investor would have reached her without doing it this way.
Working leads with humans, on the board's schedule
Lead managers live in the pipeline board with cold, warm, and hot sequences and tasks. Instead of pushing quiet leads to dead and paying to remarket later, a person calls when the system says to call.

What changed
Their journey with DataSift wasn't just about adopting a new tool; it sparked a seismic change in their operational outlook. The integration brought coherence to their once-fragmented processes, paving the way for a more proactive and streamlined workflow. Suddenly, Antione and Alana found themselves equipped with a platform that not only organized their data but also acted as a compass, guiding their strategic decisions.
With newfound clarity, they leveraged the platform's functionalities to categorize leads effectively. DataSift's intuitive interface enabled quick access to essential data points, allowing Antione and Alana to gauge lead potential almost instantly. This revolution in their approach wasn't just about data management; it became a catalyst for targeted marketing, enabling them to tailor their strategies with precision. They were now on the forefront of identifying lucrative opportunities and optimizing their efforts for maximum impact.
"We were no longer juggling multiple platforms; DataSift consolidated everything for us, allowing a more focused and efficient workflow."
The Results
The headline number is time, not dollars. A lead first imported in September 2021 sat unreachable for two years. Within 48 hours of Antione assigning it inside DataSift, the team made contact, ran a process call and an offer call, and locked it up. The seller declined the cash offer, so they re-offered as a novation and signed the contract at 8:30 at night. Several buyer offers were already in hand on camera, pacing toward roughly double their typical assignment fee.
Before: two years of direct mail, ringless voicemail, SMS, and cold calling on one record with zero contact. After: one coordinated 48-hour push inside a single system. The partnership runs on $1,500 to $2,000 a month in overhead, and the leads they chased longest now come off the top of their own dashboard.

Common questions before you start
Is there a free trial?
Yes DataSift offers a 7 day free trial. In those 7 days you’ll receive all necessary materials to learn exactly how to leverage Sift in your company.
How much does DataSift cost?
Our lowest plan starts at $149 a month and our highest plan is $1250 a month.
How long does setup take?
Your account ships with the lead management default build already wired. Boards, statuses, tasks, automations — ready on day one. Add your team, import your data, and your lead manager can start working leads the same afternoon.
I'm coming from Podio, REsimpli, or Go High Level. Why switch?
Every CRM needs someone to move leads where they belong. The difference is what catches the misses. Most CRMs hand you an empty box and tell you to build it. DataSift ships with the workflow assembled — boards, statuses, tasks, and 26+ automations already wired. You're not paying for a database. You're paying for the system that already runs your lead management.
How do I migrate over my data from another CRM?
Contact our support team through our support chat and they will give you all necessary materials and information to make sure you get all of your data uploaded exactly how you want it.
Does DataSift work with my dialer?
Yes. Ready Mode, Smart Dialer, Call Tools, Smarter Contact, Aircall and Kixie connect directly. A wrong-number disposition in the dialer flips the phone status in DataSift in real time. A new-lead disposition fires the full Call New Lead sequence. Other dialers connect through CSV upload or Zapier.
